Confirm who will supply and invoice the order
Ask for the supplier’s legal or trading name, a working contact channel and the entity that will appear on the quotation and invoice. If different names appear on the website, report or shipment, ask how the parties are connected. Keep the written explanation with your purchasing records.
Compare the exact product and package
Compare the full material name, stated form, catalog number, amount and number of containers across the listing and quotation. Ask whether the quoted price covers one container or the full listed package, and confirm the currency. Similar names or pictures do not establish that two offers have the same specification.
Ask which documents cover the offered lot
Ask whether a COA or laboratory report is an example document or a record for the lot being offered. Match the material name and lot number with the proposed label and ask who issued the document. A report for another sample does not verify the current lot. Request an SDS or other technical document when relevant to your organization’s review, and ask which product and form it covers.
Confirm shipping details for the destination
Give the destination country and postal code. Ask for availability, dispatch location, processing time, estimated transit time, shipping cost and any applicable import arrangements. Where the material needs specified transport or storage conditions, request written instructions for its exact form and package state. Confirm these details for the order rather than relying on a general website statement.
Agree how to report an issue
Before confirming an order, ask which contact handles missing items, damaged packaging or a mismatch between the label and documents. Request the information needed to report an issue and the applicable return, replacement or investigation conditions. Keep the agreed terms with the quote; do not assume that an example policy applies to your order.
Send one complete documentation request
Include the fields below in a single request so the supplier can respond against the same item and destination. Keep unanswered questions visible and obtain clarification before relying on the quote or document.
- Exact product name, catalog number and listed package
- Required quantity and destination country/postal code
- Document requested and lot number, if available
- Fields that need clarification, including currency and delivery cost
